Why Venue Choice Is Critical
The venue is one of the largest items in any event budget, and it defines the character of the event. The wrong venue comes back as capacity problems, technical constraints, unexpected costs and a poor guest experience — risks that multiply when you are organizing in an unfamiliar market like Türkiye.
Five variables drive the venue decision:
- •Capacity and format: Standing or seated? Expected attendance?
- •Technical infrastructure: Power supply, rigging points, sound limits, load-in access
- •Location and transport: Public transport, parking, distance to the city center
- •Licensing and permits: Does the venue hold the right license for your event type?
- •Budget: Rent + deposit + extra services (cleaning, security, valet)
Capacity Math
Calculate capacity from your own format — not from "the number the venue quotes":
Space per person (approximate)
- •Standing concert: 0.4 – 0.6 m² per person
- •Cocktail / networking: 0.8 – 1 m² per person
- •Seated dinner (round tables): 1.5 – 2 m² per person
- •Conference (theater layout): 0.8 – 1 m² per person
Practical rules
- •Subtract stage, bar, control (FOH) and service areas from the gross floor area
- •Never confuse the fire-code capacity with your sales target
- •A 10-15% no-show rate is typical, but do not oversell capacity because of it
- •Outdoors, have a rain plan: a covered alternative or tenting that fits your full capacity
Technical Infrastructure Checks
Questions you must ask on the site visit:
Power & Sound
- •Total electrical capacity (kW) and the number of three-phase outlets — will you need a generator?
- •Is there a sound limit (dB) or a curfew? (Especially for open-air sites and venues near housing)
- •Can the venue's own sound and lighting system be used — and is using it a condition of hire?
Stage & Load-in
- •Stage dimensions, ceiling height, rigging points and their weight limits
- •Loading ramp / freight elevator — can a truck pull up to the building?
- •How many hours are allotted for build and strike? (Is overnight build charged extra?)
Comfort
- •Is the heating/cooling capacity sufficient at full crowd?
- •Toilet count (at least 1-2 cabins per 100 guests)
- •Artist dressing room: separate entrance, shower, lockable storage

+ Basic technical infrastructure is usually in place
- •Capacity ceiling; books out early on busy dates
Open-Air Site
+ High capacity, festival atmosphere
- •Extra costs: generators, toilets, fencing, ground protection
- •Weather risk and usually a longer permitting process
Hotel Ballroom
+ Catering, accommodation and technical under one roof
+ Ideal protocol setup for corporate events
- •May come with sound limits and decoration restrictions
University / Campus Venues
+ Direct access to a young audience, affordable
