What Is Concert Organization?

Concert organization is the planning and management of a live music event from the first idea to the final load-out. Whether it is a small acoustic night or a stadium show, it requires a professional approach at every scale — and if you are producing an event in Türkiye, it also means navigating local suppliers, municipal permits and market conventions that this guide walks you through.

A successful concert rests on five core areas:

Planning Timeline

Professional concert planning starts at least 3-6 months in advance. For large-scale shows, 12+ months is ideal.

6-12 Months Before

Budget Planning

A concert budget is made up of many line items, and getting the allocation right is the foundation of the whole production. Note that supplier quotes in Türkiye are typically issued in Turkish lira (₺), so build in a currency assumption if your own budget is held in another currency.

Artist Selection and Booking

Choosing the right artist is the single most decisive factor in a concert's success.

In Türkiye, professional artists are booked through their management: booking requests are forwarded to the artist's registered manager or booking agency, and fees are set by the artist's management through offers. Technical Production

Technical production is the foundation of sound quality and the visual experience.

Sound System

The sound system is chosen according to venue size and type:

  • 50-200 people: A point source system is sufficient
  • 200-1,000 people: A compact line array is recommended
  • 1,000-5,000 people: A line array system is required
  • 5,000+ people: Large line array plus delay towers

Capacity rule of thumb: indoors, plan 5-8 watts per person; outdoors, 10-15 watts per person.

Lighting System

Choosing the Venue

The right venue directly determines the concert's success.

  • Indoor hall: Easy acoustic control, weather-independent

Security and Operations

Security is both a legal obligation and an ethical responsibility.

Staffing Needs

General rule: 1 security staff member for every 50-100 attendees. Front of stage, entrances and exits, VIP and backstage areas each require dedicated staff.
